Adobe InCopy CS4

Adobe InCopy CS4 software is a professional writing and editing program that tightly integrates with Adobe InDesign CS4 software to enable collaborative editorial workflows.
Experience a parallel workflow
Speed up production cycles and bring publications to market faster with the innovative parallel workflow of Adobe® InCopy® CS4, which enables designers, writers, and editors to work on the same Adobe InDesign® document simultaneously without fear of overwriting each other’s work.
Efficient collaboration with colleagues
E-mail-based assignments
Use e-mail-based assignments to send stories and graphics as a single assignment package to any remote contributor in your workgroup via e-mail. The e-mail package contains all the information needed to update the layout, so it’s easy to assign tasks and integrate contributions without the need for a shared server.
Assignment-based workflow
Move freely through your assignment workflow with fewer dialog boxes, and take advantage of dimmed text and graphics surrounding your stories for context without distraction. Assignments are small in file size and contain just the layout with the assigned stories so editors can focus on their task.
Assignments panel enhanced
View and manage the status of assignments, arrange story order, select multiple items, and unlink stories from the enhanced Assignments panel. Now users can quickly update assignments to make sure the assignment represents the latest changes not only to text but to the layout as well.
Change-tracking with customizable display
Easily track text changes in Galley View or Story View, and then quickly hide, show, navigate, and accept or reject changes. You can track changes across multiple stories and customize the way tracked changes are displayed onscreen.
Inline editorial notes
Collaborate more effectively by storing alternate text, writer-editor communications, and other annotations in notes tied to specific positions in a story. Easily add, delete, hide, show, and browse notes using the Notes panel.
Flexible graphics placement
Easily place, scale, crop, and rotate images and artwork, including inline graphics, in frames assigned to editorial staff.
Easy template creation
Save copyfit rules for page size, column width, and character count, as well as other settings, as InCopy CS4 templates, which you and other editors can use to start new projects.
Backward compatibility with InCopy CS3 and InDesign CS3
Get all the benefits of upgrading to InCopy CS4 and still enjoy a smooth workflow with colleagues and service providers who haven’t yet upgraded by saving stories in the InCopy CS3 interchange format.
Write to fit with 100% accuracy
Write and edit content that exactly fits your layout. View the layout for precise copyfitting, accurate line endings, and correct hyphenation, or simply view the story as it appears in the original page layout. Receive notifications when changes are made to the InDesign layout so you can copyfit as needed before handing off your assignment.
Flexible page visualization
Three document views: Layout, Story, and Galley
Edit copy in the view most suited to your current task. Galley View displays 100% accurate line breaks, Story View enables faster word processing, and Layout View lets you edit text in relation to the design.
Instant layout refresh
Refresh the Layout View whenever your designer sends you design changes for reference as you edit.
Compatibility with InDesign CS4 enhanced
Take advantage of compatibility with InDesign CS4 and all of its text composition enhancements for a smooth workflow.
Precise copyfit control
Standalone copyfit
Set copyfit rules yourself if the actual layout has yet to be defined. Enter values for parameters such as page size, column width, and character count, and begin to create copy to fit your exact needs.
Copyfit status indicator
See color-coded feedback on copyfit progress at all times to know whether you are under, at, or over available story space.
Agate measurement units
Take advantage of agate measurement units for newspaper publishing.
Vertical depth ruler
Budget space for stories more accurately using the vertical depth ruler found in the margin of Story View and Galley View, which reports a story’s depth using the active unit of measure.
Boost editorial productivity
Meet critical deadlines more efficiently with the new productivity features and workflow enhancements of InCopy CS4. Now you can quickly and efficiently deliver content that supports production of both print and digital publications — and simplify the process of creating unique content for different readers and channels.
Powerful text management
Drag-and-drop text
Drag and drop selected text from one area to another as you edit your copy.
Multiple text format support
Easily open and import content in a wide variety of formats, including Microsoft Word, Excel, RTF, ASCII, and XML.
Extensive control over imported text
Easily resolve character and paragraph style conflicts when you open and import RTF, TXT, or Microsoft Word and Excel files. Customize how styles are mapped, preserve local overrides while removing all applied styles, import or paste Excel spreadsheets as tables, and save your settings in presets for future use.
Powerful Find/Change functionality
Quickly change text and text formatting with powerful Find/Change functionality. Save searches for easy reuse; customize search scope to include master pages, footnotes, and locked or hidden layers; easily find smart and straight quotes and apostrophes in text; and use GREP (regular expressions) to run complex, pattern-based searches.
Easy font replacement
Locate unwanted fonts or identify missing fonts in a document, and replace them with any available font. When replacing a font, also replace it in your style definitions so that all styles use the replacement font.
Anchored objects
Edit anchored objects established in InDesign. Anchored objects contain text or images and can function as sidebars and callouts that maintain their position relative to a line or block of text, reducing the need to manually adjust layout as content changes.
Position marker
Set a position marker to move quickly between specific places in your story without tedious scrolling and searching.
Multilingual spelling and hyphenation controls
Dynamic spelling
See misspelled words directly on the layout, and correct spelling using a context menu.
Built-in support for multilingual text
Check spelling and correctly hyphenate documents in 31 languages and related dialects using the Proximity® dictionaries.
Flexible dictionary management
Create and reference multiple dictionaries, including linking to shared dictionaries on a network. Easily import and export word lists from your dictionaries to share entries within your workgroup.
All-language user dictionaries new
Add a custom word, name, or phrase to a user dictionary, and all languages will treat the term as correctly spelled.
Thesaurus panel enhanced
Quickly reference synonyms, antonyms, and related words using the Thesaurus panel. A selected word is automatically loaded when the Thesaurus panel is open to help you find related words and phrases fast.
Sophisticated typographical controls
Professional typography
Apply a wide range of precise typographic adjustments such as leading, letter spacing, and paragraph spacing; use OpenType® fonts and Unicode character encoding; and easily insert glyphs using the Glyphs panel.
Glyphs panel
Create typographically sophisticated documents more efficiently with the improved Glyphs panel, where you can see all glyphs contained in a font and insert any glyph instantly; use new filters to simplify browsing through long lists of glyphs; see recently viewed glyphs; build glyph sets tailored to your workgroup’s needs; and more.
Optical kerning and margin alignment
Produce elegantly kerned type automatically. Use optical kerning for text that mixes typefaces and font sizes, and use optical margin alignment to hang punctuation, creating a visually pleasing edge for multiple lines of text.
Flexible character and paragraph formatting
Apply font, size, leading, alignment, and other text formatting attributes directly in InCopy CS4 using the Character and Paragraph panels.
Long-document support
Conditional text new
Quickly deliver multiple versions of a document from a single InCopy CS4 file. Build student/teacher textbook editions, multilanguage publications, and more by creating conditions and applying them to text to hide content without using layers.
Hidden text indicator new
Easily identify items that are not displayed in your layout without losing critical attribute information. When text or links are hidden as a result of a condition being turned off, a new HT indicator symbol appears in the Links panel.
Text variables
Create text variables to simplify and automate the use of repeating elements such as headers, footers, product names, and date stamps. Base a variable on a document value such as page count, a system value such as today’s date and time, or custom text that you enter, and modify it at any time to update all instances of the variable in a document.
Support for cross-references new
Simplify writing and production of long documents with the ability to create cross-references that update as content changes or moves within a document.
Text macros
Accelerate the entry of boilerplate text and other frequently used words and phrases by typing any short combination of letters you choose.
Advanced bullets and numbering
Make quick work of lists by using styles to apply bullets or sequence numbers to text. Import bullets or numbering from Microsoft Word documents, and create figure or hierarchical numbering.
Footnote support
Create or import footnotes easily, and format their numbering and layout. When editing changes a story’s text flow, the related footnotes will reposition automatically to the correct column or page.
Robust style support
Powerful styles
Use styles to maintain typographical consistency by rapidly implementing global formatting changes. Update styles with ease.
Style groups
Organize styles into groups in the Styles panel to shorten style lists and keep related styles together without creating awkward naming conventions. Expand or collapse style groups to view the styles most relevant to the task at hand.
Selective style import
Selectively choose which paragraph and character styles to import from other documents, and easily specify how InCopy CS4 handles style name conflicts.
GREP support for character styles new
Apply character styles to text using a GREP expression to find instances of a character or string of characters that occur in a specific context. Quickly apply your style to just those characters.
Nested styles enhanced
Use nested styles to dynamically apply complex character formatting to ranges of text within a paragraph. And now, apply nested styles through the end of a line for even greater flexibility. Formatting remains unchanged when text is edited.
Nested style loopings
Set up two or more nested styles to work together, one taking over where the previous one ends. For paragraphs with repetitive and predictable formatting, loop back to the first style in the sequence.
New Styles dialog box new
Save time by creating new styles directly in the dialog box. Set up nested styles that are based on an entirely new character style, all in the same window.
Table creation and editing
Robust table creation
Quickly create tables from scratch, import styled Microsoft Word and Excel tables directly, or turn tab-delimited text files into tables, and then apply formatting in InCopy CS4. Also edit complex tables built in InDesign CS4 more efficiently.
Table and cell styles
Use table and cell styles to quickly format complex tables. Regional cell styles let you format specific areas of a table such as header, footer, and body.
Table editing in Story and Galley views new
Edit your table content directly within the text flow in both Story and Galley Views so you can easily correct overset text without impacting table design.
Change-tracking in tables new
Speed up document reviews with the ability to track changes in tables. View changes to table content directly within your InCopy CS4 document without relying on hard-copy proofs.
Notes in tables new
Add notes directly to table cells that contain alternate text, writer-editor communications, and other annotations. Easily add, delete, hide, show, and navigate among notes in tables using the Notes panel.
Efficient and flexible work environment
Task-based workspaces new
Work quickly with established task-based workspaces that unclutter your screen and present only the keyboard shortcuts, menu commands, and panel arrangements that are best for the job at hand. You can also easily customize your own menus and workspaces.
Application frame new
Work with documents and panels in a single window for maximum flexibility if you are a Mac user. Easily move or resize the window without losing access to panels or other opened documents.
Application Bar new
Use new control buttons in the menu bar to quickly switch to a new workspace, modify your view of a document, perform a search, or quickly access features such as Adobe Bridge CS4.
Tabbed documents new
Manage and work across multiple documents with ease by quickly tabbing through open documents to find the one you want — no need to maximize each document individually.
N-up views new
Flexibly arrange the way you view multiple documents in a single window so you can compare content and easily drag or copy objects across documents. Use a button in the Application Bar to quickly switch the configuration of your views — side by side, top and bottom, or any way you wish.
Dialog box positioning new
Find tools more easily with dialog boxes that open in the same screen location in which they were closed.
Support for spread rotation new
Easily edit content that appears in nonhorizontal alignment thanks to support for rotation of spreads in 90-degree increments. Spread rotation established in InDesign CS4 is maintained in InCopy CS4.
Power zoom enhanced
Use the Hand tool in patient mode to zoom out by holding down your mouse button. Continue to hold and you can move the zoom-area indicator across pages. Release and the view returns to your original zoom level in your new location. Change the zoom percentage with the up and down arrows.
Story order flexibility
Change the sequence of stories in Story View or Galley View so you can work on them in the order you prefer.
High-resolution graphics preview
Display graphics in high resolution for precision work or to preview the graphics within your layout. Easily switch back to lower resolution view for faster onscreen display.
Customizable keyboard shortcuts
Customize keyboard shortcuts to suit your style.
Editing productivity tools
Single-page spreads new
Create documents that include single-page spreads for greater time savings and more workflow flexibility when composing and editing content.
Quick Apply
Stop hunting through menus: Quick Apply lets you instantly select a style, menu command, or script by simply typing a few letters of its name and then pressing Enter to apply it.
Undo command enhanced
Go back quickly with undo steps that include actions taken with content and objects on the page, and intelligently exclude viewing actions such as Set Preview, Show Guides, and Lock Guides.
Edit With command enhanced
Choose which application to use to edit a placed item instead of relying on the operating system to default to the appropriate program.
Multiple file placement
Speed up document creation by importing multiple files at once from within InCopy or by dragging files in from the desktop or Adobe Bridge. Preview selected files as you place them in any order or location in your layout.
Layers
View and hide text and graphics on document-wide layers to efficiently manage your page elements.
Nudge buttons enhanced
Use the up and down arrows to nudge values for paragraph and character styles, find/change formats, and more.
Styles displayed in locked stories enhanced
Display character and paragraph styles for selected text in locked stories without having to check out the story or copy/paste text to an editable frame.
Apple Multi-Touch gesture support new
Take advantage of support for Multi-Touch trackpad gestures on Apple MacBook Pro and MacBook Air laptops. Pinch to zoom in on objects and pages, swipe to turn pages, and rotate to change the orientation of objects and spreads.
Grids and guides
Ruler origin on the spine new
Correctly place the ruler’s zero position at the spine of your document so that the x values are positive for right-sided pages and negative for left-sided pages when Facing Pages is enabled.
Leading-based baseline grid increments enhanced
Enter values for your baseline grid in points to match text size and leading so that you can flexibly use different measurement systems throughout the document.
File management
Customizable Links panel new
Use the newly redesigned, customizable Links panel to find, sort, manage, and organize all placed files in your InCopy CS4 documents and assignments. Click thumbnail images of files to view detailed information such as date created, date modified, and who edited last.
Image relink new
Quickly replace low-resolution placeholder images with high-resolution images based on filename — file extensions are ignored. Simply relink to a new folder.
Integration with Adobe Bridge CS4 enhanced
Browse, organize, label, and preview InCopy documents. Easily drag and drop files from Adobe Bridge into Layout View. Search for files using metadata, such as keywords.
Metadata support via XMP
Enable enhanced file management by taking advantage of XMP support to add metadata content to your InCopy files.
Items Display preference new
Set a preference for the number of recent files to show in the Open Recent menu list or on the Welcome screen.
Multichannel publishing
Print or Adobe PDF output
Print from InCopy CS4 when you prefer to edit hard copy, or export one or more stories at a time to Adobe PDF, setting options such as font subsetting or whether accurate line endings, inline notes, and styles are included.
Easy hyperlink creation new
Create compelling interactive documents with hyperlinks that navigate to external URLs, jump to another page, and more. Quickly convert text to hyperlinks, and verify your hyperlinks directly within InCopy CS4.
